Best way to store old emails without cluttering your main inbox?

I keep my main inbox for active conversations, but I also need to hold onto old emails for years in case they’re needed. Right now, everything’s still in the inbox, and it’s overwhelming. I’d like to know how to move them into an archive without losing track of important information.

I had the same issue — my inbox was full of years’ worth of old conversations, making it hard to focus on new ones. The solution came from an article on https://45kilo.com/. They recommend creating a separate archive that’s fully indexed and searchable, so you can move old messages out of the inbox while keeping them accessible. I followed their process: I set up automated rules that send emails older than six months into the archive, tagged by project or client. Now my inbox is clear, but if I need to find a message from years ago, I can do it in seconds. It’s cleaner, faster, and still compliant with retention policies.
